They say the simple things are the best. As an insurance broker I have to write to my clients once a year to invite the renewal of their motor or home insurance.

This used to involve the printing out of several lengthy documents: the renewal letter, an invoice, a terms of business document and a copy of the insurers renewal notice.

I would then print the envelope (my handwriting has never been the best) and affix a first class stamp (you can’t tell you clients they are anything other than first class!) – and then it was off to the postbox.

I now email all of the above to my clients. This is not only a far faster and more efficient way to work, it also helps provide me with a clear audit trail. It saves money on postal costs, the environment benefits from it and I don’t have to make a daily trudge to the postbox in the great British weather.

When I did my annual accounts this year my postal costs had been reduced from £185 to just £25 – I was absolutely amazed.

Sometimes trying to gain efficiency and reduce costs can result in clients getting a worse service, but all of the feedback that I have been getting from my clients is that they love it.
