We provide outsourced business support, identifying more efficient ways of working, with a team of four virtual assistants looking after clients’ administration and working practices. I have found it important to review our own working practices to ensure they are smart and efficient, in addition to carrying this out for clients.
Email inboxes can become overloaded. Instructions and questions can be lost or forgotten about, emails can go awry resulting in missed work or misplaced responsibility. To ensure we (or our clients) don’t miss instructions or questions we have started to use a combination of Trello and Smartsheet to manage projects and co-ordinate work between our team and our clients.
As a result, everything is in one place for everyone to refer to, we know who is responsible for what and where the hold-ups are. Communication is clearer, and there are no more lost instructions, as the client can upload directly to their project and track progress. The amount of emails we need to send and receive regarding our work has dropped, resulting in a more productive service to our clients and a more efficient working team.
