In our busy lives, it’s easy to treat important legal documents as a “one and done” task. For instance, you get your passport or sign a power of attorney and then file it away forever. However, many of these crucial documents have a hidden expiration date. This isn’t just about a simple renewal. In fact, an expired document can be legally invalid, leaving you in a serious bind. The problem is that companies don’t actively track or advertise these expirations. Therefore, you must be vigilant. Otherwise, the consequences can range from a ruined vacation to a full-blown family legal crisis.

Here are seven critical documents that you need to check for an expiration date right now.

1. Your Passport

First, let’s look at the most common and disruptive expiration: your passport. Many people don’t realize their passport can expire for travel long before its printed date. For example, numerous countries require your passport to be valid for at least six months after your planned departure. Consequently, if you show up at the airport with only four months of validity, the airline will deny you boarding. Moreover, with renewal times taking months, this simple oversight can cost you thousands of dollars and a lot of heartache.

2. Your Power of Attorney

Next, consider your Power of Attorney (POA). This document allows you to appoint someone to make financial decisions for you if you become incapacitated. While many POAs are “durable,” financial institutions can still be wary of older documents. For instance, banks may hesitate to honor a 15-year-old POA. They often fear that you or the law may have since revoked it. As a result, they might require your agent to get a new affidavit or even refuse the document. This can create a legal nightmare right when your family needs access to your finances.

3. Your Professional or Occupational License

Millions of professionals need a state-issued license to legally work. This includes nurses, teachers, real estate agents, and electricians. Notably, these licenses have strict renewal deadlines. They also often require you to complete continuing education credits. Forgetting to renew your license on time is a major issue. It can result in fines, penalties, and the immediate suspension of your right to work. Ultimately, working with an expired license is illegal and can put your entire career in jeopardy.

4. Your Notary Commission

If you are a notary public, the state grants your commission for a specific term, usually four or five years. The seal you use for notarizing has your commission’s expiration date printed directly on it. If you notarize a document one day after your commission expires, the notarization is invalid. This can have serious legal consequences. For example, it could potentially void the contract, deed, or affidavit you notarized, exposing you to legal liability.

5. Your Car Registration and Inspection Sticker

Every vehicle owner must renew their registration, but it’s an easy deadline to miss. The renewal notice can get lost in the mail. Before you know it, you’re driving with an expired registration, which can result in a traffic ticket and a hefty fine. In some states, your registration is also tied to your annual safety or emissions inspection. Driving with an expired inspection sticker can likewise lead to a ticket. It may even be a reason for your insurance company to question a claim if you’re in an accident.

6. Your Hunting or Fishing License

For outdoor enthusiasts, a state-issued hunting or fishing license is a legal requirement. These licenses are typically valid for a specific season or for one calendar year. Getting caught hunting or fishing with an expired license is not a simple slap on the wrist. Instead, it can lead to the confiscation of your gear and significant fines. Furthermore, the state can even suspend your license privileges for future years. Game wardens take these regulations very seriously.

7. Your Global Entry or TSA Precheck Membership

These “Trusted Traveler Programs” are a lifesaver for frequent flyers. They allow you to speed through airport security and customs lines. Typically, you hold a membership in these programs for five years. While the expiration date is on your card, it’s an easy detail to forget. If you let your membership lapse, you’ll be sent back to the standard security lines. In addition, you’ll have to go through the entire application and interview process again from scratch to be re-approved.

An Annual Review Is Your Best Protection

The best way to protect yourself from the chaos of an expired document is to be organized. You should create a master list or a spreadsheet of all your important legal documents. Note their locations and their expiration dates. Then, set calendar reminders for yourself six to twelve months before any crucial expiration. This simple habit can save you from unnecessary fines and major inconveniences. Don’t wait until it’s too late to discover an expired document has left you in a lurch.
